Lead Watchdog helps mortgage lenders, real estate teams and agents find buyers in their own CRM who are active again, reach out by text, and book a call. This policy explains what we collect, why, and the choices you have.
Who this covers
- Customers: lenders, loan officers, agents and their staff who sign in to Lead Watchdog.
- Leads: home buyers and sellers in a customer's CRM, and people who fill out a customer's Get Started page or text with them.
What we collect
- Account details: name, email, cell number and role for people who sign in.
- CRM data a customer connects: lead contact details, assigned agent, search preferences (towns, price range, home type), website activity such as recent visits, and notes. We read this with the API key the customer provides, which is stored encrypted.
- Text messages: messages sent and received through Lead Watchdog, delivery status, and opt-outs.
- Get Started form answers: what a lead chooses to share, such as timeline, first-time buyer, and contact details. We never ask for Social Security numbers, dates of birth, income amounts, account numbers or a property address.
- Calendar data: if an advisor connects Google Calendar or Outlook, we read when they are free or busy within their booking hours, create events for calls booked through Lead Watchdog, and check those events for changes. We don't read the titles, attendees or contents of their other events.
- Usage data: sign-in times, pages used and device information needed to run the service and send phone alerts.
How we use it
- To find leads showing activity, score them, and route them to the right advisor.
- To send and receive texts for the customer, including automated texts from the advisor's assistant, booking confirmations and reminders.
- To offer open times and book calls on the advisor's calendar.
- To post notes back to the customer's CRM when an advisor asks us to.
- To keep the service secure, fix problems and improve it.
We don't sell personal information, and we don't use it for advertising.
Google user data
Lead Watchdog's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We use Google Calendar access only to check free/busy times and to create, move and check the events for calls booked through Lead Watchdog. We don't use Google user data to train AI models, don't transfer it to others except as needed to provide this feature, and people don't read it unless you ask us to for support, it's needed for security, or the law requires it. Microsoft calendar data is handled the same way.
Text messages and opt-out
Leads can reply STOP at any time to stop texts, and we honor it right away. Message and data rates may apply. Mobile numbers and texting consent are never shared with third parties for their own marketing.
Who we share it with
- The customer the data belongs to, and, when an agent connects their CRM through a lender's partner link, that lender as the agent agreed.
- Service providers that run Lead Watchdog for us: hosting (Vercel), database (Supabase), texting (Twilio), AI text drafting (Anthropic), scheduling (Calendly, Google, Microsoft) and email. They may use the data only to provide their service to us.
- When required by law or to protect people and the service.
How long we keep it
Leads with no activity for 90 days are removed from Lead Watchdog (the customer's CRM keeps its own copy). When a customer disconnects a CRM or calendar, its stored key or access is deleted. When an account is deleted, its data is deleted.
Security
CRM keys and calendar access are stored encrypted, data is sent over encrypted connections, and each customer's data is kept separate.
Your choices
Leads can opt out of texts by replying STOP, and can ask the lender or agent they work with to update or delete their information. Customers can correct or delete their data, or disconnect a CRM or calendar, at any time. To ask a question or make a request, use the contact form at leadwatchdog.ai.
Changes
If we change this policy in a meaningful way, we'll update the date above and let customers know.
